PRESENT at the Research Showcase

Faculty, students and invited guests are invited each fall semester starting October 1st to register to present their research at Research Showcase.  Presentations can be either in the form of a poster or oral presentation.  The poster symposium will be held on Wednesday, April 29, 2026 from 1-4 pm in the arena of the Alumni Athletics and Convocation Center (AACC).  Concurrent oral presentations will be held on Thursday, April 30, 2026 from 9 am to 3 pm on the second floor of the University Center (UC).  If you are interested in presenting your research, please use the links below to register.  Please note that there is a separate registration form for posters and oral presentations.  Co-authors will need to register separately.

Eligibility

Research Showcase is intended for all students, faculty and invited guests from neighboring high schools and colleges to present their research at Research Showcase.  Registration will be open from October 1 to January 31.  Presenters must register before the scheduled deadline.  Participants will be officially invited to present at Research Showcase via email within two weeks after the registration deadline. 

Poster Presentation

The Faculty and Student Poster Symposium will take place on Wednesday, April 29, 2026 from 1-4 pm in the AACC.  Professional poster stands and clips will be provided.  Event organizers will be able to assist with identifying poster stand numbers (Poster numbers are 1 – 250, organized by school and then author last name). Posters must be setup between 9am-12pm on April 29 during Presenter Check-In.

Preparation: Presenters are required to complete their poster design using the provided template here.  Dimensions must comply with 36X48 inches landscape.  For free printing, posters be submitted by no later than two weeks before the scheduled event.  St. Mary’s faculty and students will upload their poster in Canvas and outside guests must email their presentation to mkarlin@stmarytx.edu.

What to Expect: Presenters are expected to arrive the morning of the event to check-in and setup their poster at their designated spot.  Once the poster symposium begins, presenters are required to stand by their posters for the duration of the poster symposium.  Be prepared to give 3-5 minute elevator speech and engage in conversation with attendees. Dress attire is professional.

Judging: Students who elect to be judged will be scored using the enclosed rubric for poster and oral presentations.  Winners will be announced at the Awards Ceremony.

Below is a highlight video from the 2024–2025 Academic Year Research Showcase, featuring poster and oral presentations from students across all disciplines. Get a glimpse of what to expect and how your work could be showcased!

Oral Presentation

All oral presentations will take place on Thursday, April 30, 2026 from 9am to 4 pm in the University Center conference rooms (second floor).  The University Research Council will notify presenters of their scheduled time and room by early March.

Preparation: Students are allotted 15 minutes, and faculty/staff members are allotted 25 minutes to present, including Q&A. There are no specific requirements regarding the content to be included. If you have any special accommodation needs, please contact the URC in advance to ensure appropriate arrangements can be made.

What to Expect: All presenters must check in with the room moderator at least 30 minutes prior to their scheduled time. Presenters should bring their presentation on a USB flash drive 30 minutes before their scheduled time. Room moderators monitor time and ensure the program adheres to the schedule; they will give 5-minute and 1-minute warnings. Each room will be equipped to project audio and will have internet access available if needed.

Judging: See the enclosed scoring rubrics for students who elect to be judged.  Winners will be announced at the Awards Ceremony.

General Presenter Information

What happens after I sign up?

  • A presenter orientation email will be sent before the een with setup details and tips
  • You will also receive guidance on how to check in and where to go the day of the event

Check-in details:

  • All presenters must check in 10-15 minutes before their scheduled session
  • Poster presenters will be directed to their board; oral will report to their session room

Day-of checklist:

  • Bring any printed materials (posters, handouts, etc.)
  • Arrive early and dress professionally
  • Be ready to network an drepresent your deparment proudly!

Presentation Awards

Each year, the Reserach Showcase concludes with an award ceremony recognizing the most outstanding student presenters. Awards are given for Best Poster Presentation in each academic college, hilighting excellence in research and communication.

The St. Mary’s University Showcase will take place either at the Academic Athletic and Convocation Center (AA&CC) or the University Center (UC), depending on the year.

Visitor Parking

Visitor parking is available in Lot T, adjacent to the AACC. Download by clicking on the button below and display the parking pass on your dashboard.

Registration/Information Table

Should you require assistance during the event, please visit the registration or information table or speak with the room moderator. On April 29, the registration table will be located in the arena of the AACC (first floor). On April 30, the information table will be located in the foyer of the University Center (UC) (second floor).

Refreshments

Refreshments will be available in the AACC Arena on April 29th and in the UC Foyer on April 30th. Lunch will be served to participants attending the Arts, Theatre, and Music Exhibit.
